What data do we store?

* Introduction
At STELLA Futura, we prioritize your privacy. Here, we provide you with information on how we collect, use, transfer, and store your personal data. We handle your information according to this policy when you contact us, purchase or use our products and services, or interact with us as a supplier or business partner.
We process your personal data in accordance with the GDPR (General Data Protection Regulation), i.e., the EU's General Data Protection Regulation (Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data) and other applicable laws.

* Data Controller

STELLA Futura is the data controller. Processing of personal data may be carried out by us or by any of our partners. Our partners are either our data processors or independently data controllers. When our data processors handle your personal data, their processing is in accordance with the purposes and means stated in this policy.
In cases where we are required to disclose your personal data to a third party who does not process your personal data in accordance with STELLA Futura's instructions, the third party is independently responsible for the processing.

* Purpose of Processing
We process your personal data to provide and market our products and services or otherwise engage with you. Also, to fulfill our contractual obligations with you. In the event of a legal dispute with you, we may also need to process your personal data to safeguard our interests.
Primarily, we process your personal data to:
* Administer and provide our products and services, for example, managing quotes, invoices, inquiries, orders, deliveries, and handling payments.
* Manage communication with customers, contacts, and stakeholders.
* Market our products and services.
* Recruit new employees.
* Improve and develop our business.

* How Personal Data is Collected

* Duration of Data Storage
Your personal data is processed only for as long as necessary for the purposes for which it was collected or as required by laws and regulations. This means that we store personal data for as long as necessary, for instance, to fulfill an agreement with a customer and comply with our obligations under the accounting legislation and other mandatory laws. In case of a legal dispute with you, we may also need to process your personal data to safeguard our interests. Personal data is deleted or anonymized when it is no longer relevant for the purposes for which it was collected.
For us to fulfill our agreements with you, personal data is stored throughout the agreement period and any warranty period. Sometimes, despite the contract being terminated, STELLA Futura needs to take maintenance measures and therefore retains certain personal data for that purpose. Necessary personal data for contact persons is retained throughout the agreement period. We also inform any partners and subcontractors who have processed your personal data that the personal data should also be deleted from their records.
According to the Accounting Act (1999:1078), we are obliged to keep certain personal data for at least seven (7) years.
For reference purposes, personal data about contact persons or the client's representatives, such as name, telephone number, and email address, is generally kept for one (1) year. In some cases, if the projects are of a larger scale, personal data is kept for reference purposes for three (3) years if the business relations are terminated.
Personal data collected for marketing purposes is deleted no later than one (1) year after collection.
Personal data collected for recruitment purposes is deleted no later than two (2) years after collection.
Personal data is deleted or anonymized when it is no longer relevant for the purposes for which it was collected.

* Data Processors and Information on Where Personal Data is Stored
We may share your personal data with our data processors and business partners, but only to the extent necessary to provide our products and services. We store your personal data on secure servers within the European Economic Area (EEA).

* Company's Use of Personal Data
We use your personal data to provide and enhance our products and services, respond to your inquiries, and fulfill our legal and regulatory obligations.

* Rights of the Data Subjects

Rectification
When we process your personal data, you have the right to request correction of incorrect information or change the information you have provided at any time.
Access to Your Data
You also have the right to request a so-called register extract to find out what personal data we have registered about you. If you request this more than once a calendar year, we will charge an administrative fee to provide the information.
Requests for register extracts are handled by STELLA Futura. We respond to your requests without undue delay and within one (1) month. If, for any reason, we cannot fulfill your requests, a justification will be provided, and we will also inform you of the time required to respond to your request.
We will send your register extract to the email address you provided at the start of the processing.
Object to Processing
You have the right to object to processing that we perform based on the legal ground of legitimate interest, i.e., where we have stated that we have a legitimate interest in the processing.
Erasure
Under certain circumstances, you have the right to have your personal data erased from us. However, this does not apply if, for example, we are obliged by law to retain the information.
Restriction of Processing
You may also have the right to request restriction of the processing of your personal data when possible. If you request such restriction of processing, it may, however, lead to us not being able to fulfill our commitments to you during the time the restriction is in place.
Data Portability
If you want to move the personal data that you have shared with us to someone else, you also have the right to receive a copy of the personal data concerning you in a structured, machine-readable format.
